Backups, import and restoration
Backups, import and restoration in Beyond.
Owners and administrators manage data in Settings → Data. Backup export is available on Free. A workspace bundle differs from a CSV/XLSX/PDF report: it moves related records together.
Export a backup
Choose the entire workspace (“account” in the export scope), selected clients or projects, then download the file. Archived records are included. Invoices and charges travel with their client; project bundles retain evidence that work was already invoiced but do not replace complete financial-document backups.
Personal formats, name, photo, interface language, members, invitations, project assignments, private time plans, salary-rate history, subscriptions, promo codes, MCP credentials and notifications do not travel. Import cannot restore your team or AI access. Workspace settings follow the export scope; its name and icon remain unchanged. Only full workspace bundles carry smart-check configuration, without personal dismissal or snooze state.
Import or restore from a file
Starter and above- Save a current backup, then open Import from Data, the command palette or a client/project menu.
- Choose a file and map each client and project: create, skip or use an existing record.
- Review conflicts, choose decisions by record type and override individual items where needed.
- Resolve blocking errors, confirm import and review the result links and warnings.
Import runs as one transaction: a failure must not leave only some business records written. New IDs are created and references remapped. Imported time is authored by the importer. Identical rows can skip; invoice-locked rows cannot be replaced. This is a controlled merge rather than rolling the workspace back to an earlier date. Older files may be incompatible with the current format.
Financial evidence
Sent and paid invoices retain numbers, dates and snapshots. Import cannot silently create an invoice without its billed entries, charges and stages: fix mappings or explicitly skip the affected invoice/client. Fixed stages without their invoice can retain external locks. Costs recalculate using the destination author and rates; source profitability is not preserved, and missing rates make it incomplete. A skipped-logo warning does not always abort import.
Portal publications travel as closed snapshots without links, passwords, sessions or performer names. If a destination client already has a portal, it remains unchanged and the incoming portal is skipped entirely. Check imported content before publishing again.
