Smart checks
Configure checks for time entries, rates, invoices and project limits.
Smart checks find situations that need attention. Cards appear on Dashboard; bell and popup notifications also depend on each person’s preferences.
Enable smart checks
- Open Settings → Workspace → Smart checks.
- Turn on Enable smart checks and select the rules you need.
- Set working days and thresholds.
- Choose Save. Discard restores the last saved values.
Only Owners and Administrators manage these settings. This section is unavailable in a support access session. The master switch applies to the whole workspace. Switching off hides checks and their notifications while preserving selected rules and thresholds.
What is checked
- Missing working days — completed working days in the last seven days without your time entries.
- Aged unbilled hours — hourly work that remains unbilled beyond the selected age, grouped by client and currency.
- Overdue invoices — issued invoices whose payment due date has passed.
- Entries without rates — hourly entries without a recorded rate. An intentional zero rate is not missing.
- Monthly project limit — reaching the selected percentage of a project’s monthly hour limit.
Defaults: all five rules enabled, Monday to Friday, unbilled age of 30 days and a monthly-limit threshold of 80%. Age accepts 1–365 days, the threshold 1–100 percent, and at least one working day must be selected.
Limits and subscription
Configure monthly limits:Pro and aboveSmart checks have no separate paid module. Setting a project’s monthly hour limit requires the monthly-limits capability on Pro or Business. This requirement applies to configuring that underlying capability, not to all checks or reading this guide.
How results appear
Dashboard shows cards with a check name and a link to the records that need attention. Missing working days include dates; an overdue invoice links to its invoice, and a monthly-limit card links to its project.

A limit card shows the used percentage, recorded hours versus the monthly limit, and remaining or excess hours. For example, 28 of 30 hours is 93%, with 2 hours left. Exceeding the limit changes the warning to an over-limit message.
The examples above are illustrations. Their links and menus are not active; real cards in the application contain data you are permitted to view.
Hide a reminder or disable a check
- Postpone one card: open its top-right “⋯” menu and choose “Remind me tomorrow”. It snoozes the reminder for 24 hours for you personally.
- Hide one card: choose “Dismiss” in the same menu. This personal action neither corrects the underlying record or invoice nor disables a team rule.
- Disable one rule: turn that rule off in Smart checks settings and choose Save.
- Disable all workspace checks: turn the master switch off and save. Rule choices and thresholds remain available when you enable checks again.
To fix the reason behind a reminder, follow the card to the timesheet, client, project or invoice and update the source data. Cards follow current checking conditions.
Who sees results
Members see only their own checks. Team financial checks and project limits are visible only to Owners and Administrators. An empty Dashboard does not grant permission to team financial data.
Notifications and your workspace
Workspace rules and personal notification preferences are separate. Each person chooses bell and popup preferences independently. Reenabled checks use current conditions through the normal checking cycle; the switch is not an instant scan of all data.
Open Beyond and select the workspace. This guide describes a build with Smart checks; earlier installed versions may not include the section.
