Roles and money visibility

Roles and money visibility in Beyond.

Beyond permissions are separate from subscriptions. A plan enables a workspace feature, a role determines who can use it, and a Member’s money flag allows only the financial data explicitly available to that role. Buying Business does not make a Member an administrator.

Owner and administrator

The owner is responsible for the workspace and can transfer ownership or request its deletion. Owners and administrators manage the team, clients, projects, workspace settings and plan within available features. They use team time views and reports. Certain dangerous actions, such as workspace deletion, remain owner-only.

A workspace has one owner. Transferring ownership changes the former owner to Admin and requires an eligible active recipient. A frozen membership grants no access regardless of its previous role.

Member

A Member reads only their own authored time: lists, search, entry history, summaries, detailed reports and exports. Money visibility does not unlock colleagues’ time. Shared client/project identities and the team directory can remain visible; those are not team time aggregates.

Members cannot access team billing, invoices, receivables, client/project financial totals, shared budgets, a project’s fixed price, salary rates or internal costs. Monthly project limits and client-portal management also remain owner/admin functions.

Money visibility and assignments

When money visibility is off, permitted Member screens do not receive hidden amounts. Enabling it allows the role’s supported personal financial information, without removing role restrictions. Project assignment is another separate setting: Members need the appropriate assignment to work with that project’s entries and their personal plans.

The same boundaries apply in MCP, reports and exports. Authorizing an AI client with broader scopes cannot grant more access than the current role. Personal plans are visible only to their author; administrators cannot read colleagues’ plans.
