PDFs, numbering and payment details

Invoice PDFs show hourly lines, fixed fees and charges with separate currency totals. Open the preview from the invoice, check its details and download it for delivery to your client. Issuing does not automatically send an email.

Number and appendix

Set a workspace number template in invoicing settings; a client may override it. Supported placeholders are {year}, {year2}, {month}, {seq:Nd}, {client_slug} and {prefix}. The draft previews a number, and a manual draft override takes priority. The final number is assigned on issue, using a separate sequence for each workspace year.

Choose the time appendix when creating the draft. Descriptions of issued entries lock because they contribute to the document. Document language and date/number preferences are separate settings. Russian RUB invoices include the amount in words; English documents and other currencies do not.

Business details and snapshots

Complete business name, address, tax ID and payment instructions in settings. Drafts read current values, including cleared fields. Issue captures these details, payment text, QR, logo and available FX snapshot. Later settings changes do not rewrite those captured values. Document labels use the current document language, and the Beyond footer preference is evaluated when rendering.

Logo and Beyond footer

Logo branding and removing the Beyond footer require Starter or higher. Upload PNG, JPEG, WebP or AVIF up to 5 MiB, with a short side of at least 200 pixels and aspect ratio 0.5–5. Replacing a logo preserves the old image for issued invoices. After downgrade the stored footer choice remains, but the Beyond line prints again.

Payment QR

On Starter or higher, a QR encodes your configured payment text. Check its preview and your own requisites: it communicates payment details directly to you and is not a Beyond payment service. There is no arbitrary PDF layout editor or customer template gallery.
