Record payments and carry balances
Record payments and carry balances in Beyond.
Record payment after money actually arrives in your own account. Beyond does not inspect a bank statement or receive the payment for you. Owners and Admins manage workspace invoice payments.
Full or partial payment
- Open an issued invoice and choose Mark paid.
- Enter the date the money arrived.
- Check the paid amount for each invoice currency. If less arrived, enter the amounts actually received.
- Choose whether to carry the shortfall into a future invoice or write it off.
- Confirm and review the payment section of the invoice.
You cannot record an unrelated currency or more than the amount due. Currencies are kept separate and approximate conversion does not replace the actual payment amount. The invoice becomes paid after confirmation; a partial amount describes closing this invoice with a carried or written-off shortfall.
Carried balances
Carrying a shortfall creates a charge linked to the original invoice. It becomes eligible for a subsequent draft. Its date and currency remain fixed; description, amount and notes may be corrected. A carry-over charge cannot be duplicated.
The paid invoice shows how much was received and what happened to the balance. If the balance has already entered another invoice, its link helps trace the chain. Charges keep these amounts distinct from hourly work.
Avoid counting twice
In the register, Total includes carried balances while Billed excludes them. Sum Billed when measuring newly billed revenue: otherwise a shortfall is counted in both its original and subsequent invoice. Collected analytics use actual paid amounts and payment dates.
Recording payment on an existing invoice remains available on every plan and during subscription read-only. This exception does not unlock invoice creation, issue or voiding. Role permissions still apply.
