Invoice statuses and locks

Invoice statuses and locks in Beyond.

An invoice moves from draft to issued, then to paid or void. Overdue is a display condition based on an issued invoice’s due date and your timezone, rather than a separate stored lifecycle step.

Issue an invoice

Open the draft, review lines, milestones, charges, number and PDF, then choose Send. Beyond assigns the number, captures business and payment details and locks included work. This action does not email the client: download and deliver the PDF yourself.

Milestone availability is checked again at issue time. If the selection has changed, correct the draft and retry. A failed issue does not leave a partially issued invoice or partial locks.

What becomes immutable

After issue, invoice contents, service period and captured details cannot be edited. Notes remain editable. Locked time cannot be deleted or moved, and its date, duration, rate and description cannot change. Time-entry tags remain editable. An invoiced charge permits notes changes only, and an included fixed milestone is protected from edits.

Changing workspace details affects future invoices and live drafts; it does not rewrite an issued document. See invoice documents for the exact snapshot boundaries.

Void or delete

Delete is available for drafts. For an issued invoice, choose Void and confirm. Voiding releases linked hours, charges and milestones for another invoice and cannot be undone. Historical fixed-fee snapshot evidence remains, but void fees do not contribute recognized revenue.

Issuing and voiding require Starter or higher and a writable workspace. Existing invoices, PDFs and register exports remain readable after downgrade. Recording a payment has a specific exception and stays available during subscription read-only; see payments.
